Rockstar Executive Assistant

The Lifestyle Suite is Australia’s only talent and content agency representing leading health and lifestyle experts across the media, and we’re looking to build on our dream team! We have an opportunity for a full-time Executive Assistant to join the team; a role that requires someone smart and hungry with great attention to detail, whose catch cry is ‘how can I help?’ and the ability to truly think on their feet.

You’ll be energetic, upbeat, driven, proactive and a natural communicator who loves working collaboratively and innovatively. Great at building relationships and managing your workflow autonomously, you’ll need SERIOUSLY awesome organisational skills and laser focused attention to detail. You’re passionate about health and being at the forefront of change, and are excited to contribute creatively and innovatively to a business dedicated to improving Australia’s health literacy.

Reporting to the Founder & Managing Director Simone Landes, this role is integral to our growing business. Ideally, you will be an accomplished Executive Assistant with experience in a similar role, supporting a senior executive with a proven ability to add value to the broader business. You will thrive in a high-pressured (yet exciting!) environment and bring with you a strong ability to multi-task and manage your time effectively.

Want more details on what you’ll be doing day-to-day?!
– Building and maintaining collaborative relationships with talent, clients and stakeholders at all levels
– Diary management and support for The Lifestyle Suite’s Founder & Director
– Prioritise incoming emails, voicemails and phone calls, while proactively dealing with questions and information requests
– Prepare any docs, paperwork and materials for meetings and pitches
– Manage confidential and sensitive information on a regular basis
– Maintain The Lifestyle Suite database (CRM) including regular updating of client contacts and activities
– Organise events and gifts on an ad hoc basis

And with the way our business has evolved over the past couple of years, this is only the beginning. We’re looking for someone who can truly make this role their own. We’re all about innovation and finding the smartest and best way to get things done – and if you have the ideas to do that, then we definitely want to hear them!

OK, so now for the serious stuff. If you think this is sounding up your alley, then what we’d love to see is the following:
– Minimum 5 years’ experience as a senior EA/or in a similar role
– An understanding of the Australian media landscape, experience in an ad agency and/or broadcast media viewed favourably
– Outstanding attention to detail and communication skills, with the confidence to interact with a variety of stakeholders in a professional manner
– Able to juggle multiple projects/tasks at once
– A go-getter, who is motivated, proactive and humble
– Ability to be flexible and work in a team environment
– Ability to problem solve in a fast-paced environment
– Tech savvy, with an understanding of CRM systems, Xero, Workflow Max, Google Suite and Adobe Suite ideal (or an ability to pick up tech quickly!)

Most importantly though, you act with integrity, show genuine care for the people you work with, love to have a laugh, and enjoy having a few (lots of) snacks in the office!
