Alumni Coordinator – Rowville & Upwey

SALARY: $42,900 per annum plus Super (Employer contribution of 9.5%)
ADDITIONAL BENEFITS: All school holidays and public holidays paid
WORKING HOURS: 9am – 3.30pm, 4 days per week (24 hours weekly)

Position Summary
Ourschool seeks to appoint an Alumni Coordinator on a part-time basis (4 days per week) for the duration of a 2 year fixed term contract. The Alumni Coordinator will be based in two public high schools in the Outer South East Region; Rowville (2 days per week) and Upwey (2 days per week).
The successful candidate will be responsible for the delivery of the Ourschool alumni program to these high schools.
The focus of the work is inspiring, motivating and raising the aspirations of current students through the engagement of alumni in career pathway activities and curriculum-related activities organised by the Alumni Coordinator. This role does not involve organising reunions for past students. In this meaningful role, the Alumni Coordinator will work towards improving students’ futures by providing them with the opportunity to gain insight into the many, varied possibilities that lie ahead of them.
The Alumni Coordinator does this by finding a school’s alumni, administering and growing the school’s alumni database, organising communications with these alumni and reconnecting them with the school to build and support the school’s ongoing relationship with its alumni. The Alumni Coordinator works closely with key teaching staff and principals to deliver and grow the Ourschool alumni program at the school.
The successful candidate will report directly to the Ourschool CEO and will interact with a range of alumni, school principals and school staff and students at their designated public high schools.
The duties of the Alumni Coordinator include but are not limited to; proactive alumni database maintenance, event planning and administration, communications and marketing, including social media, in order to engage the school’s alumni community and build a supportive alumni network for the school and its students.

1. Key Responsibilities
• Building and engaging the school’s alumni community by phone, email and social media and by meeting alumni to involve them in the school’s Ourschool alumni program. This will be done by implementing the Ourschool alumni development program and meeting its key performance indicators (KPIs);
• Providing regular progress reports to your Ourschool line-manager and designated school leaders/principal at your partnership school;
• Proactively connecting with alumni and recording their details to the school’s alumni database; keep database updated;
• Organising, hosting and inviting alumni to attend alumni-led career pathways sessions and other curriculum-related activities at the school;
• Finding innovative ways to help schools actively involve their alumni in school life;
• Writing, editing and designing engaging internal and external communications to send out on behalf of your partner schools e.g. briefings and guides;
• Delivering occasional presentations to senior leadership teams of schools; school staff meetings;
• Keeping schools well informed about extra services, developments and updates across Ourschool programs;
• Actively promoting and advocating for the Ourschool program;
• Maintaining strong working relationships with a portfolio of partner schools;
• Taking part in evaluations of the Ourschool program and the program at your designated school.

2. Selection Criteria
2.1 ESSENTIAL
• Outstanding interpersonal skills with the ability to tailor communication style to a wide variety of stakeholders;
• Well – developed written and verbal communication skills, comfortable with public speaking and making presentations to school staff and students;
• High level of attention to detail;
• Ability to work to tight deadlines, taking initiative and organising workload independently;
• Demonstrated ability to work autonomously and as part of a team with a positive, flexible approach;
• Demonstrated project/time management skills;
• Knowledge and experience of social media, including Facebook and LinkedIn; understanding the importance of professionalism in your online communications;
• Proficiency with Microsoft Excel, Word and PowerPoint;
• Friendly, warm, energetic disposition, with a welcoming and helpful personality;
• Ability to communicate with enthusiasm and warmth to all sectors of the school community, and to build strong positive relationships with key stakeholders;
• Ability to motivate others and act as a positive role model;
• Commitment to improving opportunities for students in public schools;
• Ability to maintain confidentiality and professionalism at all times;
• Ability to demonstrate initiative, imagination;
• Willingness to learn, be open-minded and to adapt to new ideas;
• A current valid Working with Children Check is essential.

2.2 DESIRABLE
• Degree qualified (tertiary degree) or relevant work experience;
• Experience in the following roles is favourable but not essential; alumni relations, journalism, communications, marketing role, school teaching or a similar role in an education-related or community-building field;
• Experience of working with teachers, students in schools is a plus.

Our organisation, Ourschool Ltd, is a not-for-profit public company that operates and delivers the Ourschool service to schools. Ourschool is registered with ASIC and the Australian Charities and Not-for-profit Commission.
Our company was established in 2019 after the Ourschool program was created and road-tested in a two-and-a-half-year pilot auspiced by the Victorian Association of State Secondary Principals (VASSP).
VASSP is the peak professional body that represents school principals and assistant principals in more than 270 state secondary schools in Victoria.
We maintain a close relationship with VASSP because of its pivotal and visionary role in Ourschool’s first years.
Ourschool is governed by a volunteer board of directors and is funded from modest annual subscription fees from participating schools, and funding from government and philanthropy. We’re not affiliated with any political or religious organisations.
